Welcome to Andes Peru Expeditions (APE), your premier tourism company, APE is a 100% locally-owned tourism tour operator agency based in the historic city of Cusco and legally recognized by Peruvian law. We have for you private and group tours. Our main goal is to always provide quality service, so customer satisfaction is our best reward Prior to booking any of our services, kindly take a moment to review the detailed terms and conditions outlined below.

Consent of our terms and conditions:

By making a reservation with APE, you acknowledge and agree to these terms and conditions. Simply using our services means you’re agreeing to these terms and conditions. Your participation is your way of saying you accept this agreement.

Modification of our terms and conditions:

Andes Peru Expeditions (APE) reserves the right to update or modify these terms of use without prior notice. The customer is responsible for periodically reviewing our terms and conditions to ensure they are aware of any changes. We trust you will have a delightful experience with us!

Reservations and Payments:

1.BOOKING

  1. Online Bookings: Book with Confidence any of our services quickly and easily through our Advanced Booking System, where you can track the status of your tour confirmation and payment (No-hassle best price guarantee). First, select your tour/trek, Trip-date, and then Simply fill out the Booking Form. Customers need to provide their personal details and make an initial deposit. The necessary information includes:
  • Full name (Exactly as appears on passport)
  • Passport number (Exactly as appears on passport)
  • Email
  • Phone/ WhatsApp
  • Country
  • Additional Notes: Please let us know if you have any special dietary requirements (vegetarian or vegan), allergic to any foods or medical conditions that we should be aware of.
  1. Booking Your Trip: You can book a Tour with Andes Peru Expeditions by contacting us by email at info@andesperuexpeditions.com or Use the Contact/Enquiry Form in our website booking/For a quick response: WhatsApp +51941411442/ +51 929803161. Customers need to provide their personal details and make an Initial deposit. The necessary information includes:
  • Full name (Exactly as appears on passport)
  • Passport number (Exactly as appears on passport)
  • Date of Birth
  • Nationality
  • Gender
  • A picture of their passport photo page. A camera phone picture or similar is acceptable.

Please let us know if you have any special dietary requirements (vegetarian or vegan), allergic to any foods or medical conditions that we should be aware of.

  1. Reservation Confirmation: After you confirm your reservation and Initial deposit, we’ll email you back to confirm your tour or trek. The email will outline What’s Included and Not Included in the service price. If we don’t hear back from you, we’ll assume you’ve accepted all terms and conditions. All bookings are subject to availability.
  2. Reminder Email: We will remind you the date, time and briefing of your trip at least 1 week before. Once you get this info, if we don’t hear back from you, we’ll assume it’s confirmed by you.
  3. Briefings: We provide a detailed briefing before your trek. It usually happens at our office or your hotel in Cusco where you’ll meet your mountain Guide. This is your chance to ask any questions about the trek. Briefings are typically scheduled the day before your trek starts in the afternoon between 5pm to 7 pm. It takes about 45 minutes. When planning your trip to Cusco, make sure to arrive in time for the briefing.

Please note:  Changing the briefing time and date on short notice is tough. If you ask for a change less than 48 hours before the scheduled briefing, we might not be able to do it. However, we will still try our best to accommodate any schedule changes.

  1. Booking at very last minute: If you make your booking last minute, payment will be 100% in CASH in our office or your hotel in Cusco. All bookings are subject to availability.

2. PAYMENTS

  1. Deposits

You have two options for making deposits- through PayPal or Western Union. If you opt for PayPal, there’s a fixed 8% fee attached to the deposit. On the other hand, using Western Union incurs variable fees, and the amount of the initial deposit will depend on the type of itinerary chosen by the client. Here are the amounts for the tours and treks:

Initial Deposit for – MachuPicchu by Train 1 Day.

  • We require a deposit of 50% per person.
  • Deposits for treks and Tours are non-refundable and non-transferable to another individual.
  • Please note that this amount is necessary to purchase your tickets, subject to availability.

Initial Deposit for – Inca Trail to MachuPicchu 2D/1N.

  • We require a deposit of 50% per person.
  • Deposits for treks are non-refundable and non-transferable to another individual.
  • Please note that this amount is necessary to purchase your tickets, subject to availability.

Initial Deposit for – Inca Trail to MachuPicchu 4D/3N.

  • We require a deposit of 100% per person.
  • Deposits for treks are non-refundable and non-transferable to another individual.
  • Please note that this amount is necessary to purchase your tickets, subject to availability.

Initial Deposit for – Non-Inca Trail treks and Multi-day Tours.

  • All Treks and Tours that takes more than 2 days require a deposit of 50% per person.
  • Applies to: MachuPicchu tours, Salkantay Treks, Ancascocha Trek, Inca Quarry Trail, Lares Trek, Inca Jungle Tours, Huchuy Qosqo Trek, Choquequirao Trek, Ausangate Treks to Rainbow Mountain, Ausangate 7 lakes Trail to Rainbow Mountain, etc.
  • Deposits for treks and Multi-day Tours are non-refundable and non-transferable to another individual.
  • Please note that this amount is necessary to purchase your tickets, subject to availability.

Full Deposit for – 1 Day Trips/Hikes/Tours.

  • We require a deposit of 100% per person.
  • Applies to: Rainbow Mountain, Humantay Lagoon, Palccoyo Rainbow Mountain, Ausangate 7 lakes Trail, Sacred Valley of the Incas, Cusco City Half-Day Tour.
  • This policy will apply to these tours: If you have a change of plans, you may cancel up to 24 hours before the tour begins. The operating company will refund 100% of your deposit immediately.
  • Deposits for treks are non-refundable and non-transferable to another individual. This policy is in place because we utilize deposits to purchase tickets and secure your spots for any of our tours and treks, subject to availability.
  • For groups of more than 7 passengers, we accept bank transfers. If this applies to you, please send us an email at info@andesperuexpeditions.com 
  1. Final Payments

 We take Cash and PayPal for the final payment. You can only start the trek after we receive the full final payment.

Payments in Cash You need to pay in cash the day before the trek when we have the pre-trek briefing in our office or your hotel in Cusco. We only accept US dollars for cash payments, not any other currencies, including Peruvian soles.

  • We strongly recommend using cash for final payments, as there are no fees, and it’s important to note that cash is essential in Peru.
  • Please note that Peruvian banks are very picky about the condition of dollars they accept. So, please make sure your bills are in good shape, without any tears or damage, as we won’t take damaged bills or broken bills (“Broken” means any tear, even a small one as little as 3 mm, or if the bill has too many wrinkles.)
  • Make sure to have enough cash because the ATM only allows withdrawals of up to USD 800 per day.

Payments through PayPal. You need to pay one week before the trek. An 8% fee applies for balance payments via PayPal. If not paid 3 days before the trek, the PayPal fee increases to 10%. Use our PayPal email: https://www.paypal.me/rosmerycc.

  • Please note sender- If your item doesn’t require shipping (for example, because it’s an e-ticket, Train tickets or MachuPicchu entrance), update your order status and your money will be available within seven days of verification. (While using PayPal).
  • Clients are responsible for covering all banking fees.

3.CHANGE POLICY

  • Inca Trail permits are issued under the name and passport number of the applicant and cannot be transferred to another individual under any circumstances. Once the permit is acquired, it is not possible to change the dates. these are non-refundable and non-transferable, as per Peruvian government regulations, and not by APE.
  • We can usually change the date of your trek, except for Inca Trail.
  • Changing the date for non-Inca Trail treks incurs a fee as the tickets are purchased in advance which are non-transferable to another individual, requiring a new reservation with new tickets and date:
    • $75 per person if done over 30 days before trek.
    • $100 per person for changes 21-30 days before.
    • $150 per person for changes 10-20 days before.
  • Fees for changes made less than 10 days before the scheduled date, there will be different rates. These rates will be calculated when you make the change and will depend on availability and the new date. which can be discussed.
  • Date changes must be to another group excursion for at least 2 participants, if you’re a single traveler and want to change dates, but there are no available spots on the desired date, unfortunately, the change cannot be made.
  • We reserve the right to modify tour itineraries due to unforeseen circumstances or events beyond our control.
  • It’s possible that any part of the program/itinerary might change due to circumstances out of our control such as weather conditions, train schedules, natural disaster, strikes, Epidemics, pandemics, or other sociopolitical upheavals.
  • Any modification to the original booking is subject to availability.
  • In the rare event that the Inca Trail and non-Inca Trail treks are closed for safety or other reasons, APE may substitute it with an alternative trek of similar duration and difficulty.

4.CANCELLATIONS:

  • If you cancel your reservation 30 days before the scheduled date, there won’t be any charges (with the exception of the non-refundable deposit) with the following exception:
  • If you cancel your Inca Trail trek, you won’t receive a refund of your deposit.
  • If the customer cancels within the period of 30 to 10 days before their trek, they will be responsible for covering 50% of the total trip cost.
  • If the customer cancels within the period of 10 to 3 days before their trek, they will be required to pay 80% of the total cost.
  • If the customer cancels within 2 days or less before their trek, they will be obligated to pay 100% of the total cost.
  • No refunds will be granted in case of no show for scheduled tours, informational sessions (Briefings), and activities or early departures. Failure to attend will be considered as a NO SHOW.
  • In the rare event that a customer chooses to leave after commencing the trek, no refund will be provided. The customer is also responsible for covering any additional expenses incurred, including food, lodging, and transportation. On the final day, the customer has the option to rejoin the group and participate in the Machu Picchu tour.
  • If a client is unable to participate in the trek or tour after it has started (due to sickness, physical problems, etc.), no refund will be provided. The customer is also responsible for any additional costs incurred for transportation, lodging, and food. On the last day, the tourist has the option to rejoin the group and participate in the Machu Picchu tour.
  • If a natural disaster prevents the completion of a service, the customer will be eligible for a 50% refund.
  • In the event of pandemics, such as the one experienced worldwide in 2019, no refunds will be provided. However, you may postpone your trip as your ticket will remain valid. This clause is subject to the availability of spaces and tickets to Machu Picchu.
  • In the event of a natural disaster necessitating a change in the trek route, with the trek still being completed, no refund will be issued. This applies even if alterations in the Salkantay Trek prevent participation in the zipline. In such cases, the alternative route will include a visit to the Llactapata archaeological site.
  • In the rare event that the Inca Trail is closed for safety and/or other reasons, APE reserves the right to replace the Inca Trail with any other trek.
  • In the highly unlikely event that your service is not completed due to a fault of Andes Peru Expeditions, you will receive a refund.

5.TRAVEL INSURANCE:

  • We strongly advise all our customers to consider purchasing travel insurance.
  • Your coverage should encompass baggage loss, accidents, emergency air rescue, and trip cancellation. Trip cancellation insurance should reimburse you for non-recoverable air or land expenses in case you need to cancel your trip due to personal or family illness. Additionally, it should cover any medical or emergency evacuation expenses if you fall ill during your trip.
  • In the event of illness or injury during one of our treks or tours, our team is trained to offer emergency first aid and coordinate transportation to a suitable medical facility. However, please note that we do not assume responsibility for the expenses associated with these transportation services or medical care.

6.REGARDING YOUR PASSPORT FOR MACHU PICCHU, MACHUPICCHU MOUNTAIN, HUAYNAPICCHU MOUNTAIN, HUCHUYPICCHU MOUNTAIN, AND THE INCA TRAIL:

  • After booking your tour, we promptly send your information to ‘Machu Picchu Park’ to expedite the issuance of permits as soon as possible.
  • For all services, you must bring your actual passport; a photocopy will not be accepted.
  • The information we provide to Machu Picchu Park includes your full name, passport number, nationality, gender, and age. This information cannot be modified.
    • If there is a change in your passport number due to renewal or If your passport number changes between reserving your spot and the start of your trek, you must bring both your old and new passports.
    • If any information on your passport does not match the details previously provided, you will not be able to start the trek.
  • If you arrive in Cusco without informing us of a new passport number or updated information, Andes Peru Expeditions will not be held responsible. In such a situation, it becomes the customer’s responsibility to cover the additional expenses for returning to Cusco or Machu Picchu, including transportation, food, and other related costs.
  • If you book the Inca Trail or any non-Inca trail trek using a student card, you must bring the original student card along with your passport during the trek. Please note that Ministry of Culture personnel will deny entry if the student card is not presented, and this situation will be beyond our responsibilities.

7. PARTICIPANT RELEASE AND CONSENT FOR ENGAGEMENT IN POTENTIALLY DANGEROUS ACTIVITY

By accepting this Release, I, the undersigned Participant, acknowledge and consent to the following terms and conditions:

  1. Definitions: The following definitions will be applicable to this Release:
  •  Andes Peru Expeditions” refers to a walking, hiking and trekking trip in the Cusco region organized by Andes Peru Expeditions Tour Operator, as detailed in the information provided by the Andes Peru Expeditions team.
  • “I,” “Me,” or “Participant” refers to the individual agreeing to this Release.
  • “Release” refers to this Participant Release and Consent to Engage in Potentially Dangerous Activity.”
  1. Warnings:
  • Participating in any Outdoor Trekking Adventure with Andes Peru Expeditions involves potentially strenuous physical activity. It is advisable to consult with a doctor before engaging in the Adventure or any training in preparation for it.
  • Taking care of your health involves both exercise and regular check-ups with your doctor. If you ever get hurt during any type of training (group or individual sessions, self-training, pre-event preparation, or team activities), it’s important to stop right away and seek medical help.
  • The information provided by Andes Peru Expeditions and its team is meant to give general guidance on walking, hiking, trekking, safety, and other activities during the Adventure. It’s not a substitute for medical advice or self-treatment. Everyone’s exercise, health, and nutritional needs are different based on factors like age, gender, family medical history, and current health. Before starting any exercise or recreational activities, it’s important to consult with a qualified health professional who can provide personalized advice based on your health status and abilities.
  1. Risks:
  • I acknowledge that engaging in the Adventure involves taking part in activities that inherently carry certain risks. These activities encompass, but are not restricted to, walking, trekking, hiking, and animal viewing. Additionally, some of these activities may take place in remote and wilderness areas.
  • I also understand that if I experience any illness or injury during the Adventure, accessing emergency personnel, doctors, hospitals, or other treatment facilities may be challenging. There could be prolonged delays and challenging travel, which may be difficult and potentially painful, to reach a hospital or treatment facility. These delays and travel conditions could worsen any illness or injury during the process of reaching necessary professional help.
  • ALTHOUGH UNLIKELY, PARTICIPATING IN THE ADVENTURE ENTAILS THE POSSIBILITY OF DEATH OR SERIOUS BODILY INJURY.
  1. Representations:
  • I acknowledge that Andes Peru Expeditions will permit my participation in the Adventure only if I consent to the terms of this Release.
  • I wish to take part in the Adventure willingly and voluntarily. I understand that involvement in the Adventure carries certain inherent risks, and I have been informed about the listed Warnings above.
  1. Assumption of Risk and Release:
  • As part of the consideration for engaging in the Adventure and any related activities: I WILLINGLY ACCEPT ALL THE RISKS ASSOCIATED WITH PARTICIPATING IN THE TREKS.
  • I release and absolve Andes Peru Expeditions, along with its team, from any and all present or future claims that may arise in connection with or be related to my participation in the Outdoor trekking Adventure.
  • Without restricting the above, this release encompasses the relinquishment of all claims I might have, including those related to wrongful death, injury, or property damage.
  • This release will apply to all my heirs, successors, and assigns, and will be legally binding on them.

8. RIGHT TO USE NAME AND LIKENESS:

  • I also authorize Andes Peru Expeditions and its team to use my name, voice, likeness, and image, including photographs and electronic pictures or videos depicting my involvement in the Adventure, for any advertising purposes, without requiring any additional compensation.
  • I also relinquish any right I may have to review or approve the use of my name, voice, likeness, or image.

I sign and consent to this Hiker Release and Agreement to Participate in Potentially Dangerous Activity on the scheduled date.
